Ha Long cancellation terms, and how they vary

Ask what happens if you cancel a Ha Long cruise and the answer depends on who runs the boat and who sold you the cabin. Thirty-six operators, between them running 52 of the 92 boats we publish, print a cancellation ladder on their own websites (read up to 14 October 2026). Their free windows run from 72 hours before departure to 45 days. Most sit between two weeks and a month.

How far ahead can you cancel for free?

Usually two to four weeks. The table sorts the operators by the last day you can cancel one or two cabins on a standard rate without paying anything. It covers 34 of the 36; Cozy Bay and Signature print ladders whose free window is not a single date.

Twenty-one of the 34 put the line between 14 and 31 days. Indochina Junk’s “free” period still carries a booking fee of USD 10 for a one or two-day trip. Emeraude and Le Journey, which share a format, charge 30% on their best available rate even when you cancel ten or more days out, and 50% from ten days to five.

What happens in the last week?

Most of these ladders keep the whole fare in the final days, and several take it all seven days out: Verdure Lotus’s 7-day rate, Elite of the Seas and Stellar of the Seas charge 100% inside the last week, Hermes from 15 days. A few step down more slowly. Renea charges 50% at three days, 75% at two and the full fare only inside 24 hours. Indochina Junk takes 50% from seven days to two. Nostalgia keeps 80% one or two days out, and Verdure Lotus’s 30-day rate keeps half the room rate at any point inside those 30 days, which on the last afternoon is the gentlest term on the list.

Book three or more cabins and the rules tighten

Seventeen of the 36 operators print a separate, stricter ladder for groups. Aime’e lets one or two cabins cancel free until seven days out; three to five cabins lose that right at 30 days. Orchid moves its free line from 30 days for under four rooms to 45 days for four or more, and 60 days for a whole-boat charter. Paradise runs seven days for under seven cabins and 60 days for seven or more. If you are booking several cabins, count the cabins before you read the ladder.

Are cheap rates refundable?

Often not. Emeraude Classic and Le Journey Elegance sell advance-purchase and promotion rates that cannot be changed or refunded. Ambassador’s two boats do the same for promotional and package rates, and Bhaya’s promotional fares override its standard ladder. Sena charges 100% on its non-refundable rates. Venezia’s terms say a paid booking is not refundable, though the date can be changed. Verdure Lotus and Diana both sell two plans side by side, so check which plan your price is on.

What if the bay is closed for weather?

The port authority decides whether boats sail, and 31 operators running 44 of our boats print what happens when it says no. The common rule, worded almost identically from one operator to the next: cancelled before you leave Hanoi, a full refund; cancelled after you have arrived or partway through, you pay for what you used and the rest comes back; a three-day trip cut to one night is charged as a two-day trip.

The details differ in ways that cost money. The decision comes by 11:00 on departure day on Emperor’s and Lux Cruises’ terms, and by 15:00 on Paradise’s, Indochina Junk’s and Orient Legacy’s. Emperor and Paradise both state that a guest who cancels before that decision gets no refund, so do not pull out early on a bad forecast. Where only a day cruise is allowed, Paradise charges USD 95 a person and Emperor and Lux Cruises USD 180. Heritage Line refunds in full if the cancellation is announced by noon on embarkation day. If you book through a listing site

The catch is that an operator’s ladder binds you only if the operator is who you paid. Book through a listing site and its own terms go on your voucher. Two of the largest print ladders of their own. On halongbaytours.com you cancel free until 30 days out, then pay 15%, 30% from ten days and everything inside a week. On besthalongcruises.com the free line is 21 days, then 30%, 50% from ten days and everything inside a week. The same cabin on the same date can therefore carry three different ladders, depending on where you clicked.

The part guests actually complain about

Booking and admin, which is where cancellations and refunds sit, is a subject in 4% of all the reviews we classified and in 27% of the one and two star ones. That is a sharp split. The trips that ended badly were far more likely to involve a booking that went wrong than the trips that ended well.

A guest describing a refund they say was slow, or an offer they say was withdrawn, is telling you what happened to them. What the pattern shows, across thousands of reviews, is that the paperwork around a booking is one of the places a Ha Long trip most often sours. A clear, written policy that you have actually read is the cheapest insurance against being on the wrong side of that number. The only ladder that binds your trip is the one printed on your own confirmation, so read that one before you pay.

Is there a standard cancellation policy in Ha Long? No. Thirty-six operators print their own, with free windows from 72 hours to 45 days before departure. Some boats under one owner share a ladder, Bhaya’s three and Orchid’s four for example, but across owners the steps and percentages differ. Any page that tells you “the usual policy in Ha Long is” has picked one ladder.

Ask for the exact date in writing, and check whether your rate is a promotional one, because those are often non-refundable.

Will I really lose the whole fare if I cancel late? On most ladders, yes, inside the final few days, and on Elite of the Seas and Stellar of the Seas from seven days out. Nostalgia is the gentlest close in, keeping 80% one or two days before departure. This is the difference most worth checking, because it is the difference that costs the most.

What if I have to cancel for an emergency? Unicharm’s tour pages promise a full refund for weather or emergencies. Elsewhere, treat the ladder as the rule and insure for the rest.
